Burning e-mail to disc

Q. My husband listened to you all the time and still receives your newsletters. He and our daughter were taken to heaven on Labor Day last year. Part of a dead Grand Fir snapped off and fell out of the sky. It landed on top of the motorcycle they were riding. They were on the way home from a trip to Glacier National Park. My husband saved all of your newsletters in Outlook. I don't want to print each newsletter out to read them. So, I want to save them to disc. My husband talked about you and your show all the time. I treasure those moments with him and miss him and our daughter more than words can express. I need to delete messages to free up space and eventually close his account. I wish I could e-mail them in heaven. But my prayers and love will have to do until I'm with them again.

A. I'm sorry for your loss. Losing a spouse or a child is difficult. But losing both at the same time must be devastating. I encourage you to find support from others who understand your grief. You may find local support groups. Or, if you prefer, join an online support group. I have a tip that will help you find support online. Since your husband used Outlook, the e-mail messages are already on the computer. That means most of the work is done for you. Saving the e-mail messages to disc won't be very difficult. Simply open Outlook and select the messages you want to save. Next, drag the messages to a folder on your hard drive. The messages will have the .MSG file extension. Double-click a message, and it opens automatically in Outlook. Creating a folder It sounds like you might not know much about computers, so let me tell you how to create a folder. Right-click on your desktop and select New>>Folder. Enter a name for it. Open the folder by double-clicking the icon. Since you'll need to see both Outlook and this folder, set it to half-size; click the middle button in the top-right corner of the window. It looks like two boxes superimposed on one another. Set your Outlook window to half-size, too. Again, click the middle button in the top-right corner of the window. You may also need to move the windows to get a better view of them. You can use the windows' title bars to do this. That's the bar at the very top of the windows. Click it, and, without releasing the left mouse key, drag the window to a different part of your screen. Now, I'll teach you how to drag and drop. In Outlook, select the newsletters. Click Ctrl+A. All of the messages will be highlighted. Now, click any message, and, without releasing the left mouse key, drag the messages to the folder you created. Let go of the mouse key. It could take several minutes to move all of the messages.

Burning discs Burning the messages to CD is easy, too. In XP, insert a blank disc into your burner. In the dialog box that appears, select "Open writable CD folder using Windows Explorer." Click OK. Drag the messages to the folder that opens. Then, click "Write these files to CD." Name the CD and click Next. Windows will burn your CD. In Vista, open the folder containing the messages. Click Burn at the top of the window. When prompted, insert a blank disc into your burner. Enter a name for the CD and click Next. Windows will create your CD. CDs come in capacities ranging from 650 to 700 megabytes. So, you may find that the messages won't all fit on one CD. You could use a DVD, which holds 4.7 gigabytes. Or, if your DVD drive is dual-layer, you can use an 8.54GB DVD. To determine how much storage you need for the e-mail messages, click in the window and press Ctrl+A. You should see the total size at the bottom of the window in Vista. In XP, it should appear in the left side of the window. Divide the messages If the size exceeds that offered by your disc, you'll need to do a little more work. Create a new folder on your desktop. Move some messages from the original folder to the new one until the remaining messages will fit on the disc. You may need to repeat this several times, depending on the number of messages your husband has amassed. Since the messages were downloaded to the computer, you can delete them from the e-mail server. This will help you free up space in your husband's account. Your e-mail provider probably has Webmail. You can sign in to your husband's account online. Then, you can delete messages from the account. Messages already downloaded in Outlook won't be affected. If you don't know your husband's password, read my tip. It will help you log in to his account. That's the easiest way to free up space in your husband's account. However, messages will soon start piling up again. So, you'll probably want to adjust the account settings in Outlook. You can have Outlook delete messages from the server once they're downloaded to your computer. Messages can be deleted immediately. Or, you have Outlook delete after a certain period of time, say a week or so.

Finding settings

You'll need to access the account settings in Outlook. The steps vary, depending on the version of Outlook. In Outlook 2007, click Tools>>Account Settings. In earlier versions, click Tools>>E-mail Accounts. Select "View or change existing e-mail accounts." Click Next. Locate your husband's e-mail account. Select it and click Change. Click More Settings and open the Advanced tab. You have a couple of different options here. You can deselect "Leave a copy of messages on the server." Or, leave this option selected and select "Remove from server after __ days." Use the controls to select the number of days. After you've made your selection, click OK. In the Change E-mail Account dialog box, click Next. Finally, click Finish. Outlook will remove the messages from the e-mail server based on your selection. You may decide not to burn the e-mail messages to disc. In that case, watch the size of your husband's Outlook file. Otherwise, you could lose messages. To find out how to protect the messages, read my tip. If you delete your husband's e-mail account, you could miss important messages. So do some planning. I have a tip that will help ensure you don't miss anything important.
